The Front Desk and Reception Supervisor is responsible for managing the daily operations of the reception area in an Urgent Care and Surgery Centre. This role ensures efficient patient registration, excellent customer service, accurate administrative processing, and smooth patient flow from arrival to treatment. The supervisor also oversees reception staff and ensures all front desk procedures comply with healthcare regulations and patient confidentiality standards.

Front Desk Operations:

  • Oversee the daily operations of the reception and patient registration area.
  • Ensure patients are greeted professionally and assisted promptly.
  • Maintain an organized, efficient, and welcoming reception environment.
Patient Registration and Intake:
  • Supervise patient check-in and ensure accurate collection of patient information.
  • Ensure completion of consent forms, medical history, and required documentation.
  • Coordinate with nursing staff to ensure patients are directed quickly to triage or treatment.
Patient Flow Management:
  • Monitor waiting times and coordinate patient movement between reception, triage, examination rooms, and treatment areas.
  • Communicate delays to patients and maintain high service standards.

Staff Supervision:

  • Supervise and support reception and front desk staff.
  • Schedule staff shifts and manage daily task assignments.
  • Train new reception staff on procedures and patient service standards.
Customer Service and Complaint Handling:
  • Address patient inquiries and complaints professionally.
  • Resolve issues related to wait times, registration, or service delivery.
  • Escalate complex concerns to management when necessary.
Telephone and Communication Management:
  • Ensure efficient handling of incoming calls and patient inquiries.
  • Direct urgent medical calls to appropriate clinical staff.
  • Coordinate communication between patients, nurses, physicians, and administrative departments.
Billing and Payment Coordination:
  • Verify patient billing and insurance information.
  • Ensure collection of required payments or co-payments.
  • Coordinate with the billing department for accurate patient account processing.
Records Management and Confidentiality:
  • Ensure accurate entry of patient information into the electronic medical record system.
  • Maintain strict confidentiality of patient data.
  • Ensure documents are properly scanned, filed, and stored.
Daily Reporting and Administrative Duties:
  • Maintain daily records of patient visits and front desk activities.
  • Reconcile daily payment collections when required.
  • Provide reports to management on patient volume, operational issues, and service improvements.

Qualifications and Requirements

  • Diploma or Degree in Healthcare Administration, Business Administration, or a related field.
  • Minimum 3–5 years experience in medical reception, clinic administration, or healthcare customer service.
  • Prior supervisory experience preferred.
  • Knowledge of medical office procedures and patient registration systems.
  • Strong communication and organizational skills.
