The Supply Chain Coordinator is responsible for supporting end-to-end supply chain and inventory operations, ensuring accurate inventory control, timely procurement, effective forecasting, and strong coordination with internal stakeholders, suppliers, and logistics partners. This role plays a critical part in maintaining optimal stock levels, minimizing waste, supporting sales performance, and ensuring operational efficiency across private and government markets.

Key Duties & Responsibilities

Inventory Control & Validation

Validate all inventory transactions, including:

  • Free goods and physician samples allocations
  • Private market and government goods receipts
  • Landed cost calculations
  • Inventory write-offs
  • Monitor stock levels to identify overstock and understock situations and recommend corrective actions.

Validate monthly stock reports, including:

  • Stock & Sales Reports
  • Expiry Reports
  • Inventory Write-Off Summaries
  • Net Sales Reports

Stock Counts & Reporting

  • Coordinate and support quarterly physical stock counts, ensuring accuracy and reconciliation of variances.
  • Prepare detailed inventory, sales, logistics, expiry, and customer group reports as requested by Management and the Managing Director.

Purchasing & Supplier Coordination

  • Prepare and manage assigned purchase orders for inventory.
  • Utilize the Company’s ERP system to track shipments and delivery timelines.
  • Liaise with suppliers and logistics partners to follow up on shipping documents and ensure timely delivery of goods.
  • Collaborate closely with logistics managers to align purchasing decisions with demand forecasts.

Forecasting & Demand Planning

  • Prepare monthly rolling forecasts by product and supplier based on private and government market demand.
  • Monitor rolling forecasts generated by customers and identify risks or variances.
  • Prepare monthly deal sheets based on stock levels, sales trends, and inventory performance for management review.

Financial & Sales Support

  • Validate credit notes prepared from customer returns and coordinate with the Accounts Department to ensure customer accounts are updated accurately and on time.
  • Prepare quarterly price comparisons and internal product analyses to support pricing and procurement decisions.
  • Analyze market trends and competitor practices to identify opportunities for sales optimization and improved inventory turnover.

Continuous Improvement

  • Identify and recommend process improvements to reduce waste, improve efficiency, and strengthen inventory accuracy and supply chain performance.
  • Perform any other related duties as assigned by Management in support of operational objectives.
  • Bachelor’s Degree in Logistics & Supply Chain Management, Purchasing & Logistics or a related field.
  • 3–5 years’ experience in Supply Chain Management, Inventory Management, Procurement/Purchasing, or a related operational role.
  • Proven experience working with inventory systems, ERP platforms, and supply chain reporting tools.

Skills & Competencies

  • Strong analytical and problem-solving skills with attention to detail.
  • Solid understanding of inventory control, forecasting, and supply chain processes.
  • Proficiency in ERP systems and Microsoft Excel (reports, analysis, reconciliations).
  • Excellent organizational and time-management skills.
  • Strong communication and coordination skills for working with suppliers, logistics teams, sales, and finance.
  • Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment
  • Office-based role with regular interaction across departments and external partners.
  • May require occasional extended hours during stock counts, audits, or critical shipment periods.
